What the role is about:
The OF Department is a part of our European Shared Service Centre based in Prague, which is supporting Philips and AOC brands in the EMEA region.
The Order Fulfilment department, being the first and qualified back-office contact for Customers, makes the Order Fulfilment Specialist accountable for ensuring a high level of customer satisfaction regarding the order/delivery management and complaints handling. You will also work on improving service levels for the company and play a strong role in providing support to the sales organisation.
Your responsibilities will include:
- Processing sales orders in an accurate & timely manner (Order Book Management: SAP registration; pricing checks, goods allocation; managing back orders with customer/sales team/planning)
- Managing deliveries with 3PLs to the highest customer’s satisfaction (informing customers on delivery dates; scheduling orders with Warehouse/Carrier to deliver as per Promised delivery date; delivery follow-up; issuing accurate & timely shipment/export documentation), and meeting the company’s TPW cost targets
- Complaints management: registration, coordination, status check, follow-up on solution, and providing feedback to customers
- Processing internal orders according to the commercial organisation’s instructions and requirements
- Participating in cross-functional projects
- Conducting sales data analysis, pricing reviews, providing stock availability details, etc.
- Keeping track of the sales plan per guidance from sales
- Engaging in regular dialogues with Salesforce team, Credit Controllers, Demand Planners, W&D regarding order & complaint status, documents.
What do you need to succeed?
✅ Must-have requirements:
- Working experience: minimum 1–3 years of experience in Order Fulfilment or Order Management
- Fluency in English
- Good knowledge of MS Office tools, especially Excel.
- Experience working with an ERP system
- Education: Min. secondary school
- Analytical, detail-oriented, proactive approach to work
- Capable of following processes and guidelines
- Problem-solving skills, out-of-the-box thinking
- Excellent communication skills, capability of understanding customer needs; emotionally balanced and mature personality
- Team player with a responsible and proactive approach to work
- Ability to work under pressure in an ever-changing environment where deadlines have to be met
- Ability to recognise and promote automated solutions
🌟Those will give you an additional advantage:
- Experience working in the SAP system
- Knowledge of an additional European language is a big advantage
- Understanding of logistics, warehouses functioning, and supply chain processes
